Terms & Conditions

General

By attending any class, session, or event, you agree to these Terms and Conditions. They must be read and accepted before participating in any Heartstead activity.

If you are under 18 years of age, a parent or legal guardian (aged 18 or over) must sign a consent form on your behalf and provide contact details.

We reserve the right to refuse entry or remove any person from the studio at our discretion, for reasons including inappropriate behaviour or breach of these terms.

Please note: Heartstead operates on a private residential property immersed in a natural setting. By attending, you acknowledge that the environment may include uneven ground, insects, wild and domestic animals (e.g., antelope, dogs, cats, chickens). While we take every reasonable precaution to ensure your safety, you accept all associated risks when entering the premises.

 
Bookings and Payments
  • All classes and sessions must be paid for in advance.

  • You are responsible for keeping your contact and billing information (e.g. email, phone number, credit card or bank details) up to date. Please notify us of any changes as soon as possible.

  • If any payments are missed or fees remain unpaid, your access to classes or services may be suspended until your account is settled in full.

  • If payment continues to be unsuccessful, your membership may be cancelled.

 
Cancellations and No-Shows
  • Group classes require at least 12 hours’ notice for cancellation.

  • Private sessions require 24 hours’ notice.

  • Late cancellations or no-shows may result in loss of class credit or a fee.

 
Health and Safety

By participating in any class, session, or activity at Heartstead, you agree to take full responsibility for your health and safety. This includes using any equipment or facilities, whether indoors or outdoors.

Exercise activities—including Pilates, strength training, flexibility work, and cardiovascular movement—can involve risks such as injury or, in rare cases, more serious outcomes. By choosing to participate, you acknowledge and accept these risks. You agree to release Heartstead, its staff, and affiliates from any liability for injuries, damages, or losses that may occur as a result of your participation.

You are responsible for ensuring that you are physically and mentally fit to take part in our sessions. If you have any medical conditions, injuries, or health concerns (including pregnancy), you must inform our staff before participating.

You also confirm that:

  • You are in good health, or

  • You have consulted a doctor and been cleared to participate in physical activity, or

  • You choose to participate without medical clearance and accept all responsibility for doing so.

You have the right to ask our staff for guidance regarding the suitability of any class or exercise. If you choose not to seek advice or ignore professional recommendations, you do so at your own risk.

Prenatal Participation
Pregnant clients may attend prenatal-friendly classes only if:

  • Have had no pregnancy complications,

  • Have been cleared by a medical professional.
    If you feel unwell, unsure, or experience discomfort at any point, we strongly advise against participating.

Client Responsibilities:

To ensure a safe and positive environment, all clients must:

  • Wear suitable, comfortable clothing for moving in.

  • Bring water with you.

  • Inform instructors of any injuries, health conditions, or pregnancy.

  • Keep emergency contact details up to date.

  • Follow all exercise instructions and safety guidance.

  • Only participate if you are well enough to do so safely.

Studio Etiquette
  • Please arrive on time.

  • Please respect our community and drive slowly (no more than 30kms/hour)  down our roads even if you are late.

  • Turn off mobile phones during class.

  • Respect your fellow clients and our team at all times.

  • Be mindful that this is a shared natural environment, please keep noise levels down.

  • Do not approach any animals unless permitted.

  • Do not pick flowers or plants unless permitted.  

Facilities and Personal Belongings
  • We provide space to store your belongings during class, but we are not responsible for any lost, stolen, or damaged items.

  • Due to our natural environment, we recommend keeping personal items secure and leaving valuables at home.

Memberships, Class Packs & Changes
  • Memberships are billed monthly unless stated otherwise.

  • Memberships may be paused or cancelled after the first 2 months from the start date.

  • To pause or cancel your membership, you must give at least 7 days’ notice in writing by emailing hello@heartstead.co.za

  • Class packs and memberships are non-transferable and non-refundable unless otherwise stated.

  • Expiry dates on class packs are fixed unless agreed in advance.

  • We may update our fees, services, class schedules, or membership terms with reasonable notice, which will be posted on our website, in-studio, or sent via email.

 
Privacy Policy
  • Your personal information is collected and used in line with our privacy policy. We will not share your details without permission.

  • By signing up, you agree to receive communication from us. You may unsubscribe at any time.

 
Right to Refuse Service

Heartstead reserves the right to deny access to any class or service, or to ask a participant to leave, if they breach these terms or act in a way that is unsafe or disruptive to others.

Open Week 

Coupon Code OPENWEEK2025 applies for one complimentary group class per client during the week 28 July - 1 August. This code only applies to once off group classes and does not apply to memberships are bundles or solitude classes.  

Acknowledgement

By participating in Heartstead classes or services, you confirm that you have read, understood, and agree to the above Terms and Conditions.
